DISCHARGE SURVEY & TALLY
Upon vessel arrival, onboard the vessel to oversee the container and cargo discharged from cargo holds.
Oversee all discharge, storage, and dispatch operations and report on losses and damages occurring at each step and where possible, state the most likely reason(s), which led to same.
Act as AIM’s client representative to protect its interests in all port operation and identify act of negligence from other parties that could lead to losses or affect food quality and issue letter of protest on behalf of PRINCIPAL / AIM’s client.
Notify AIM’s client in case additional services are necessary to protect the cargo interests of AIM’s client if the SURVEYOR has reasons to believe that the correct quantity has not been discharged.
Provide daily operation update to AIM’s client by email or fax
Develop and maintain a chronogram of activities (discharge, dispatch..).
Fill in the “Notice of loss and damage and intent to pursue marine claim” within three (3) days following the end of the vessel discharge. Issue immediately the document to the stevedore company from whom the SURVEYOR will get a copy of the “out turn report”. Obtain stevedores agent signature on the Notice and issue a copy of the Notice along with the out turn report to AIM’s client.
Upon request from AIM’s client ensure laboratory testing of commodities is conducted for commodities suspected unfit for human consumption. AIM’s client will reimburse the SURVEYOR based on invoice and supporting documentation for undertaking such analysis.
Supervise disposal of certified unfit food commodities and submit report of the operation along with disposal certificate signed by relevant parties.
Preparation and submittal to AIM’s client of discharge surveys draft report / inspection certificates corresponding to a unique bill of lading for review by AIM’s client within 5 days of discharge of the commodity from Ports. AIM’s client will provide within 7 days any comments and correction to the SURVEYOR.
Submit to AIM’s client within 5 days following receipt of draft survey report comments from AIM’s client, three (3) printed hard report copy and all supporting documents.
The final report should be submitted to AIM’s client no later than twenty (20) days from the date all containers / cargo have been dispatched from port.
For Commodity that is containerized:
Supervise and oversee the discharge of containers from the vessel and verify that the stipulated number of containers bearing the correct identification numbers as stated in the Bill(s) of Lading have been discharged from the vessel.
Discharge Tally Sheets of containers and Certificates of attendance, duly signed by all concerned parties must be submitted along with the report.
Verify that the container seals are intact and not tampered with, and that they match the numbers as listed in the Bill(s) of Lading.
Supervise the trucking of containers and perform a tally of containers as the cargo destined for Customers, is loaded into truck and verify that containers are dispatched with intact seals, and that they match the numbers as listed in the Bill(s) of Lading.
Provide photographs of containers in the case of overt or suspected latent damage.
For Commodity that is Break Bulk:
Oversee the discharge of commodities from the vessel and verify that the stipulated quantity of commodity bearing the correct cargo identification as stated in the Bill(s) of Lading have been discharged from the vessel.
Verify that the packaging of the commodity is intact and not tampered with, and that they match the description as listed in the Bill(s) of Lading.
Discharge Tally Sheets and Certificates of attendance, duly signed by all concerned parties must be submitted along with the report.
Supervise reconstitution of damaged bags, tins and spilled commodities and quantify loses.
Perform a loading tally as the cargo destined for client is loaded into truck
Supervise the trucking of the cargo to the last delivery point in Client; ensuring that commodities are dispatched without being tampered with. Dispatch Tally Sheets duly signed by all concerned parties must be submitted along with the report.
Provide photographs of the commodities during discharge and loading of the commodities and in the case of overt or suspected latent damage.
The survey report should indicate a listing of the bags delivered from each container, quantify loses for each Bill of Lading and Packing List and assign loses to responsible parties.
